This Privacy Policy explains how CallBreaker, LLC, an Arkansas limited liability company (“CallBreaker,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with the CallBreaker website, application, software, platform, and related services (collectively, the “Service”). This Privacy Policy is incorporated into and supplements the CallBreaker Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service. By accessing or using the Service, you acknowledge the practices described in this Privacy Policy.
CallBreaker is a football scouting and analytics tool intended for use by adult coaches, administrators, and authorized team personnel. The Service is deliberately designed to operate without collecting the names or personal identifiers of student-athletes. Please read Section 6 (Student and Children’s Privacy) carefully, as it describes how we minimize the collection of information about minors.
1. Scope of This Policy
This Privacy Policy applies to information processed through the Service. It does not apply to third-party websites, products, or services that we do not control, even if they link to or from the Service. A Customer organization (such as a school, football program, booster organization, youth team, or club) controls who is invited to its account and what Customer Data is entered. Where a Customer determines the purposes and means of processing Customer Data, the Customer acts as the controller of that data and CallBreaker acts as a service provider or processor on the Customer’s behalf.
2. Information We Collect
Account and profile information. When you create an account or are invited to an organization, we collect information such as your name, email address, password credentials, organization and team affiliation, assigned role (administrator or member), and account preferences.
Customer Data and Uploaded Play Data. Authorized Users submit football scouting and self-scouting information through the Service, including down, distance, formation, personnel, field position, game clock, play direction, the jersey number of the player receiving or touching the ball, target area, point of attack, play type, result, opponent and game records, notes, filters, and settings. This information is described in the Terms of Service as Customer Data and Uploaded Play Data.
Payment information. If you purchase a subscription, our third-party payment processor collects and processes your payment details. CallBreaker does not need to store full payment card numbers and receives limited billing information (such as a billing contact, the last four digits of a card, and transaction status) to manage your subscription.
Usage and device information. We automatically collect limited technical information necessary to operate and secure the Service, such as log data, IP address, browser and device type, timestamps, feature usage, and error or diagnostic information.
Communications. If you contact us for support, billing, or other inquiries, we collect the information you provide in those communications.
3. Information We Do Not Want and Ask You Not to Provide
The Service is designed to use football play information and jersey numbers, not the personal information of athletes. You must not upload or enter player names, student names, personal contact information, home addresses, dates of birth, Social Security numbers, medical or injury information, academic information, disciplinary information, eligibility information, recruiting information, financial information, or other unnecessary personally identifying information about athletes, students, minors, coaches, officials, or other individuals.
If you believe prohibited personal information has been uploaded, please notify us promptly at privacy@callbreaker.app so we can take reasonable steps to remove or address it. Because the Service does not require athlete names to function, declining to provide them does not limit your ability to use the Service.
4. How We Use Information
We use information for the following purposes:
- To provide, operate, maintain, secure, and support the Service, including authentication, account management, and team and opponent organization.
- To deliver the Service’s analytics, dashboards, reports, game-day features, voice-input features, and AI-assisted features such as scouting summaries and game-plan suggestions.
- To process subscriptions, payments, renewals, and related billing and tax functions.
- To improve, develop, test, validate, and troubleshoot the Service, including model and analytics improvement and quality assurance.
- To create aggregated, statistical, de-identified, or non-customer-identifying reports concerning football trends, as described in the Terms of Service.
- To communicate with you about your account, including service, security, billing, renewal, and legal notices.
- To protect the security, integrity, and lawful use of the Service and to comply with legal obligations.
5. AI-Assisted Features
Certain features of the Service use artificial-intelligence providers to generate scouting summaries, game-plan suggestions, and similar outputs. When you use those features, the relevant football play information may be transmitted to and processed by an AI provider acting on CallBreaker’s behalf for the purpose of generating the requested output. CallBreaker selects providers that process this information to provide the feature and does not authorize them to use a Customer’s identifiable Customer Data for their own independent purposes. Because the Service is designed to exclude player names and personal identifiers, the information processed by these features consists of football play data and jersey numbers rather than athlete identities.
6. Student and Children’s Privacy
The Service is intended for adult coaches, administrators, and authorized team personnel. It is not directed to children, is not intended for direct use by athletes, students, or minors, and does not knowingly collect personal information from children under 13. We do not request or require athlete names, and the Service is built to function using jersey numbers and football play information only. This data-minimizing design is a central privacy feature of the Service.
If a Customer is a school, school district, or other educational organization, the Customer is responsible for determining whether its use of the Service complies with applicable student-data-privacy laws (such as FERPA and state student-privacy laws), parental-consent requirements, school and district policies, and league or athletic-association rules. To the extent applicable, the Customer designates CallBreaker as a service provider acting on the Customer’s behalf for the limited purpose of providing the Service, and CallBreaker uses Customer Data only to provide and improve the Service as described in the Terms of Service and this Privacy Policy.
If you believe that information about a child has been provided to us in a manner inconsistent with this Policy, please contact us at privacy@callbreaker.app and we will take reasonable steps to address it.
7. How We Share Information
We do not sell a Customer’s identifiable Customer Data, and we do not disclose a Customer’s identifiable scouting information to an opponent. We share information only as follows:
- Service providers and sub-processors. We use trusted third parties to operate the Service, including cloud hosting and database providers, a payment processor, an authentication provider, an artificial-intelligence provider for AI-assisted features, and communications and email providers. These providers process information on our behalf and under obligations to protect it.
- Within your organization. Customer Data is accessible to the Authorized Users of the organization that owns it, subject to the roles and permissions configured by the organization’s Administrator. CallBreaker enforces separation between organizations so that one organization cannot access another organization’s data.
- Aggregated and de-identified information. We may use and share aggregated, statistical, de-identified, or non-customer-identifying information, including football-trend analyses, provided it does not identify a Customer, its school, its team, its opponent-specific scouting file, its coaches, or any player.
- Legal and safety. We may disclose information if required by law, legal process, or governmental request, or to protect the rights, property, safety, or security of CallBreaker, our users, or the public.
- Business transfers. If CallBreaker is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy or a successor policy.
8. Data Retention
We retain account and Customer Data for as long as your organization maintains an active subscription and for a reasonable period afterward, except as described below or as required by law. For evaluation accounts, data associated with an expired trial is generally retained for approximately 30 days after the trial ends and may then be deleted.
As described in the Terms of Service, CallBreaker may retain Uploaded Play Data on a continuing basis, including after expiration or termination of a subscription, for software development, analytics and model improvement, quality assurance, security, and the preparation of aggregated football-trend reports. Where Uploaded Play Data is retained for these purposes, it is used as football play and jersey-number information and not as athlete identity information.
9. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, disclosure, alteration, and destruction, including access controls that separate each organization’s data. However, no online service, network, system, or storage method is perfectly secure, and we cannot guarantee absolute security. You are responsible for protecting your account credentials, limiting access to Authorized Users, promptly removing users who should no longer have access, and notifying us at security@callbreaker.app if you believe your account has been compromised.
10. Your Choices and Rights
You may review and update your account and profile information through the Service. Organization Administrators can manage Authorized Users, roles, and permissions, and can remove users from the organization. Depending on your location, you may have rights to access, correct, delete, or restrict the processing of personal information about you, or to obtain a copy of it. To make a request, contact us at privacy@callbreaker.app. We may need to verify your identity and, where information is controlled by a Customer organization, we may direct your request to that organization’s Administrator.
Where a Customer organization controls Customer Data, requests to access or delete that data should generally be directed to the organization’s Administrator. CallBreaker will provide reasonable assistance to the Customer in responding to such requests, consistent with the Terms of Service.
11. State Privacy Rights
Residents of certain states may have additional rights under applicable state privacy laws, which may include the right to know what personal information is collected, the right to access or delete personal information, the right to correct inaccurate personal information, and the right not to receive discriminatory treatment for exercising these rights. CallBreaker does not sell personal information and does not share personal information for cross-context behavioral advertising. To exercise applicable rights, contact us at privacy@callbreaker.app.
12. Cookies and Similar Technologies
The Service uses cookies and similar technologies that are necessary to operate the Service, such as maintaining your authenticated session and remembering basic preferences (including, on a per-device basis, your selected team and display settings). We do not use the Service to serve third-party advertising. Disabling strictly necessary cookies may prevent the Service from functioning properly.
13. International Users
The Service is operated in the United States and is intended for users in the United States. If you access the Service from outside the United States, you understand that your information will be processed in the United States, where data-protection laws may differ from those of your location.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by email, account notice, website posting, or another reasonable method. The updated Privacy Policy will be effective on the date stated in the notice or, if no date is stated, when posted. Your continued use of the Service after the updated Privacy Policy becomes effective constitutes acknowledgment of the updated Policy.
